The Model

Maintaineo is not custom software rebuilt per client. Organizations register themselves and receive an isolated workspace — their own assets, users, issues, and history, isolated at the database layer.
Every asset gets a digital identity
The QR code is only the entry point. The value is in what happens after the scan.
A digital identity
Every asset is registered with a unique per-organization code — category, location, condition, and service dates kept in one place.
A scannable path
A QR label is generated automatically. It encodes only the asset's safe public URL — never notes, serials, or costs — and prints onto durable labels.
A report and a workflow
Anyone can scan and report an issue with no account. Issues move from Reported to Resolved through assignment, inspection, and recorded maintenance.
A permanent history
Every significant action is logged with date, actor, action, and related issue. The record is auditable and not casually edited or deleted.
Responsible AI
AI that advises,never decides.
When a complaint comes in, the AI turns natural language into structured triage — a suggested title, category, priority, possible causes, and safe diagnostic checks.
The output is advisory. The reporter reviews and edits it before anything is submitted, and the final decision always belongs to a person. The AI is a focused capability, not a chatbot: it helps with triage, summarizes maintenance notes, flags recurring patterns, and suggests preventive timing — none of it overrides human judgment on a real machine.

AI provider keys never appear in client code, and no tenant data leaks into another tenant's prompts.
A record you can't rewrite
Every significant event — an issue reported, an asset inspected, a part replaced, a resolution approved — is recorded automatically with its date, actor, action, and related issue. History is written by the workflow, not by memory.
The record is permanent by design. It isn't casually editable or deletable by any organization role, which makes it usable for audits, compliance, and the question that started this whole product: what actually happened to this asset, and when?
